AI implementation cost has three parts: assessment, delivery and ongoing operations. At Megaleios, the AI Readiness Assessment costs $5,000 and takes two weeks. It supports the investment decision; it does not include building the system. Implementation is scoped separately, while the operating budget follows actual usage, hosting, channels and the work required to keep the workflow reliable.
The full assessment fee becomes a project credit if implementation is contracted within 30 days. The free three-minute questionnaire and the 30-day pilot are separate offerings. To compare proposals, ask each vendor to price the same workflow, integrations and acceptance criteria. A demonstration and a supported production workflow carry different responsibilities, even when both are described as an AI solution.
What belongs in each part of the AI implementation budget?
A useful budget identifies the deliverable and the owner of every expense. The assessment determines whether and where to invest. Delivery connects the system to the business. Operations keeps the agreed workflow running at a measurable standard.
| Budget | What it should cover | Decision it supports |
|---|---|---|
| Assessment | Current workflow, opportunities, estimates and recommendation | Is there a justified investment? |
| Implementation | Scope, integrations, testing, training and launch | Does the workflow meet acceptance criteria? |
| Operations | Models, channels, hosting, review and support | What does a correctly completed task cost? |
The $5,000 assessment fee pays for analysis, not a prepaid implementation package. If the implementation contract applies the assessment credit, show that credit in the cash plan. Counting the full assessment fee and the undiscounted project price would overstate the combined outlay.
This distinction also helps with purchasing approval. A decision engagement can have a defined end even when the conclusion is to wait. Signing it should not silently commit the business to a second contract or to a particular model provider.
When does an AI workflow justify a detailed business case?
A detailed business case makes sense when a recurring queue has an identifiable owner and a measurable current cost. Document review, requests that require several system lookups and incoming messages that need routing are concrete starting points.
Describe the beginning and end of the task. “Use AI on documents” is too broad to price. “Extract purchase order fields, check the customer record and route discrepancies for approval” creates a boundary. Record which inputs are eligible and which should continue through the existing process.
For a task that happens only a few times a month, a better form or a conventional business rule may be sufficient. If employees disagree about the correct decision, resolve that disagreement first. The model cannot turn an undefined policy into an acceptance standard that everyone has agreed to use.
What changes the price of implementation?
Implementation cost follows the work required to deliver a dependable process. The model name alone tells you little about the integration, testing or operating responsibility involved. Five variables deserve attention:
- Available integrations. A documented API is different from a system with no structured access. Confirm permissions, a test environment and relevant usage limits before treating an integration as included.
- Data condition. Organized, searchable records need different preparation from inconsistent scanned files. Identify cleanup work and the person responsible for correcting the source.
- Authority to act. Drafting a suggestion for approval differs from changing a customer record. Higher consequence actions require explicit confirmation, access controls and recovery behavior.
- Exceptions and demand. Missing fields, duplicate requests and unavailable systems require defined handling. Busy periods may also require queues and additional monitoring.
- Acceptance and handoff. Testing, operating instructions and training are deliverables. A polished demo using selected inputs does not establish production readiness.
There is no single implementation price that fairly covers all these variables. A responsible proposal defines a workflow and gives that scope a fixed price, with exclusions and dependencies. Precision comes from a clear boundary, rather than an unsupported market average.
How should you estimate model usage?
Estimate model usage by testing representative tasks, including retries and inputs that need review. Record monthly demand, input size, output usage and the number of calls required to finish each type of task.
OpenAI's token documentation distinguishes usage categories and explains why actual consumption matters. Visible answer length does not capture the full bill. Use the provider's current rates when preparing the quote and record the model assumptions, rather than treating today's rate as a permanent commitment.
Give each document or request type its own row in the estimate. Multiply measured consumption by expected demand, then add other expenses. Include the people who review uncertain outputs, maintain instructions and handle exceptions. After the pilot, replace assumptions with observed usage instead of carrying the original estimate forward indefinitely.
How do you translate the estimate into an investment decision?
The decision requires a net benefit estimate and a view of uncertainty. Available capacity, realized expense reductions and additional attributable revenue are different benefits. Each needs its own evidence, and the same improvement should not be counted twice.
Consider this illustrative US scenario, not a customer result or a Megaleios quote: 1,000 monthly requests currently require ten minutes of work each. An assisted workflow reduces that to four minutes, including review. The difference is 6,000 minutes, or 100 hours. At an assumed internal cost of $45 per hour, that represents $4,500 in monthly capacity.
If the scenario assumes $1,500 in additional monthly operating expenses, the remaining capacity equivalent is $3,000. That is not automatically cash savings. The process owner still needs to show whether the hours absorb demand, remove an identifiable expense or support another measurable outcome.
Implementation investment must be quoted before payback can be calculated. Also test lower demand and more review. If the proposal works only under the most optimistic assumptions, narrow the scope or collect better evidence before making a larger commitment.
How does a 30-day pilot improve the budget estimate?
A pilot improves the estimate by comparing a baseline with assisted operation of the same workflow. In the Megaleios AI automation offering, the initial stage defines the process and metric, followed by construction and integration, then assisted operation and a decision about what comes next.
Agree in advance on a correctly completed task, the review requirement and excluded inputs. OpenAI's evaluation guidance supports task-specific tests and ongoing evaluation. The financial conclusion still depends on the business's own operating data.
Request three separate findings: achieved quality, observed cost and conditions for expansion. A workflow may be technically successful without justifying a broader rollout. Another may reveal a source data problem that should be fixed before further investment. Neither finding should be hidden by an impressive demonstration.
Which omissions make an AI proposal look cheaper than it is?
Four omissions can move substantial work outside the apparent purchase price. Identify them before selecting a vendor so the operating team does not inherit an unfunded responsibility.
- Comparing a subscription with an integrated project. Write down what your own team must still build, connect and maintain.
- Ignoring review and exceptions. Identify who completes unresolved work and how much capacity that queue requires.
- Treating all current effort as savings. Deduct work that remains, and avoid presenting the same benefit as both capacity and revenue.
- Using only average demand. Test long inputs and busy periods before setting an operating limit or approving an expense ceiling.
The proposal should also explain scope changes, third-party charges and access to usage reporting. You need enough visibility to check the bill after launch without relying on an informal monthly explanation. A clear monitoring owner matters as much as a spreadsheet prepared during sales.
How does Megaleios frame the investment decision?
Megaleios, founded by Fabiano Belmonte, has delivered 150+ products since 2012. Its AI consulting engagement starts with a workflow worth measuring and the conditions that would justify investment. The assessment produces a recommendation; a subsequent implementation receives its own scope, price and timeline. A record of software delivery does not guarantee an AI return for every workflow.
Prepare transaction volumes, representative inputs, current handling times and the name of the person who can validate the outcome. Those inputs make it possible to discuss a measurable business process rather than a preferred tool. If the evidence is incomplete, the proposal should identify that uncertainty clearly enough for the buyer to make a deliberate decision.
