Who it’s for

When custom software makes sense

My operation relies on spreadsheets and disconnected tools

Records, orders, finance, and reports in one place, with role-based permissions and activity history.

I want to turn an established process into a SaaS product

Multi-tenancy, plans, subscriptions, onboarding, and recurring billing. From an idea to your first paying customer.

I have legacy software that is hard to maintain

A phased modernization plan: new foundations and screens, data migration, training, and an agreed operational transition.

Custom software, a SaaS product, or off-the-shelf tools?

Before requesting a quote, identify which approach fits:

Off-the-shelf softwareCustom web applicationYour own SaaS product
Best forStandard processes already well served by existing tools, such as accounting or emailA distinctive business process that existing packages do not supportA process you understand and want to offer to other businesses
Cost modelOngoing subscriptionInitial development plus maintenance and improvementsInitial development plus ongoing product operations
ControlThe provider defines the product rulesYour business defines the agreed application rulesYour product decisions and revenue model
When to reconsiderWhen adapting your operation to the tool creates recurring problemsWhen an existing product already solves the process wellWhen customer demand has not been validated

If staff copy data between several tools, evaluate whether an integration or custom application would remove the duplicate work. If other businesses want to use your system, it may be worth exploring a SaaS product.

Pricing

What determines the cost of a web application?

  1. Modules and user roles. Records, orders, finance, inventory, reports, and access rules. Each module needs screens, business logic, and tests.
  2. Integrations. ERP, CRM, payments, invoicing, and messaging integrations. Available APIs and the quality of existing data affect the work required.
  3. Data migration. Moving historical records, cleaning them, and validating the result is a defined part of the project.
  4. Multi-tenancy and billing for SaaS. Customer data separation, plans, trials, subscriptions, and failed payments add requirements beyond an internal application.
  5. Reporting and analytics. A simple dashboard and a modeled reporting system with targets and alerts require different scopes.

No hourly billing: after discovery, you receive a fixed price. Changes to scope are agreed before additional work begins.

How to choose a development partner

AskWhy it matters
Will I own the source code and data?Clarify source code, documentation, data access, and hosting responsibilities. At Megaleios, source code and documentation transfer after full payment.
Are the price and timeline fixed?Ask for an agreed scope, price, timeline, and change process.
How will existing data be migrated?Migration needs a plan before development: sources, validation, responsibilities, and transition.
Who trains my team?Training and documentation help staff use the system consistently. Confirm what the engagement includes.
How will security and data requirements be handled?Identify access controls, logs, encryption, and data handling requirements during discovery and include them in the scope.
How will the system evolve?Ask how new modules and ongoing improvements will be planned and delivered.
Common mistakes

Common mistakes when commissioning custom software

  • Automating a process before reviewing it. New software can reproduce an existing problem. Review the workflow before designing screens.
  • Building everything at once. A phased rollout lets employees use and evaluate the first module before expanding the product.
  • Leaving daily users out of design. Include the people doing the work so the application fits the actual operation.
  • Underestimating migration. Historical data may contain duplicates and inconsistencies. Plan cleaning and validation as project tasks.
  • Not assigning an internal owner. Name the person responsible for business rules, data, and priorities after launch.

FAQ

Web application and SaaS questions

What is the difference between an internal application and SaaS?

An internal application supports your operation. SaaS is a product other businesses subscribe to, adding requirements such as multi-tenancy, plans, billing, and onboarding. We build both.

How much does a web application cost?

It depends on the five scope factors above. After discovery, you receive a fixed quote without hourly billing.

How long does it take?

A medium-sized system typically takes 6–10 development weeks; larger platforms with multiple modules and integrations take 10–16. Discovery, architecture, and launch add time according to scope.

Can you connect to my current ERP or CRM?

Yes. We assess ERP, CRM, payment, messaging, and legacy system connections during discovery, including alternatives when no API is available.

Where will the application be hosted?

In the cloud, typically AWS or Azure, with the account, backup, and monitoring responsibilities agreed in the proposal.

Do you migrate data from existing software?

Yes. Migration is a project stage with cleaning, validation, and parallel operation where appropriate.

Will I own the code?

Yes. Source code and documentation are transferred after full payment.

Can we start small and expand?

Yes. We recommend starting with a module that solves a clear problem, then expanding through planned improvements.

What if we need changes after launch?

A 60-day warranty covers defect fixes. A separate monthly support and improvement plan provides a jointly prioritized backlog.

Do you work with companies in Brazil?

Yes. Megaleios serves companies in Brazil and the United States in English and Portuguese, with a U.S. company based in Orlando, Florida.
